NSF ATS Data Privacy Statement

NSF ATS data privacy statement provides information on the processing of your personal data within NSF for specific purposes.

1 Handling of personal data

1.1 Purpose(s) and categories of personal data

Subject to you providing your legitimate interest via our application platform we will process the following personal data for the following purposes.

1.1.1 Application on vacant positions

  • When you apply for a job, we require you to create a candidate profile, containing your name, title, company, address, phone numbers, e-mail address, job title, organization, phone number, region/country, educational background, skills and competencies (optional), and your work history (optional).

When you enter the application for a vacant position, we additionally require you to provide application documents, e.g. your CV, a resume, reference letters and/or a cover letter.

  • We will indicate (e.g. by an asterisk on a form) where it is mandatory for you to provide personal data to us. If you do not provide such mandatory personal data, we may not be able to consider your application or otherwise engage with you.

If you provide personal data of any other individuals to us, you must give them a copy of this statement and ensure that you have their consent to provide their personal data to us to process in accordance with this statement.

1.1.2 Pro-active information about other job offers

You can choose to be informed about other job offers in your country or world-wide through email job alerts you choose to be pro-actively informed, we will base this communication on your candidate profile.

1.2 Use of personal data

  • Your personal data may be processed and used by NSF and the recipients set out in Section 2 below in any form (e.g. written or electronic).

2 Transfer of personal data

2.1 Commissioned Processing

For the processing of your personal data, we will to some extent use specialized service contractors who act as our data processors. Such service contractors are carefully selected and regularly monitored by us. Based on respective data processing agreements, they will only process personal data in accordance with our instructions.

2.2 Third Parties

If you choose to be informed about other job offers in your country or worldwide we may transfer your data to affiliate companies of NSF International

2.3 Third countries

If you choose to be informed about job offers worldwide or if you apply for worldwide positions, your personal data may be transferred outside your residing country (including but not limited to a country for which the European Commission has not decided that it ensures an adequate level of data protection, and therefore we apply mandatory internal privacy policies within all NSF subsidiaries worldwide. NSF will hold data based on standard contractual clauses of EU commission) - Additional information regarding NSF’s data protection policy is available upon request noted in section 4.

2.4 Additional notice if you reside in the People's Republic of China (for the purposes of this statement only, excluding Hong Kong SAR, Macau SAR and Taiwan):

For the purposes described above, we may share your personal data with NSF International (789 N. Dixboro Rd., Ann Arbor, MI 48105, USA), a group affiliate that may engage external service providers (e.g. Oracle Corporation) to process your personal data on our behalf in jurisdictions outside China (e.g. the USA).

We may also share your personal data with other group affiliates, both within and outside China, for the purposes described in this statement. Some of these group affiliates may process your personal data on our behalf. Others may have their independent purposes and means of processing your personal data. 3 Protection and Retention period for personal data

Your personal data will be stored for six months after the completion of the recruitment process. If you enter a new application during that period the retention period will be recalculated based on the new application.

  • If you choose to be informed about other job offers in your country or world-wide through email job alerts, [we will retain your personal data for such purposes during the period the identified job positions exist in our group unless you opt out of the alerts.

We may retain your personal data for a longer period if that is mandatorily required by applicable law.

We have implemented measures designed to secure your personal data from accidental loss and from unauthorized access, use, alteration, and disclosure.

4 Information regarding your rights

  • Subject to applicable laws, you have the right to request from us information about your personal data, access to or a copy of your personal data and rectification or erasure of personal data or restriction of processing concerning you, to object to processing, to withdraw consent as well as the right to data portability.
  • You also have the right to lodge a complaint with the data protection supervisory authority.
  • You are not obliged to provide your personal data and there will be no adverse consequences for you if you do not provide your personal data.

If you reside in China, the NSF entity that determines the purposes and means of processing your personal data is the NSF entity with which you apply the job position for.
